POSITION SUMMARY:

The RFP Specialist position is a part of Aspire Technology Partners Sales Operations department. The RFP Specialist is responsible for assisting the team manager in reviewing and preparing responses to all Requests for Proposal or Bid. This position also includes management of all vendor relations and state contract procurement vehicles.  The individual is responsible for maintaining a high level of professional communications with all levels of management relating to Sales Operations and Customer Service.  This position location is onsite in Eatontown, NJ.

ESSENTIAL DUTIES AND RESPONSIBILITIES- MAY INCLUDE THE FOLLOWING:  OTHER DUTIES MAY BE ASSIGNED.  

  • Assist the team Manager in developing, preparing, and submitting compelling, clear, relevant, technically precise and compliant Request for Proposal responses, Requests for Information, and Request for Quotes for Commercial and SLED (State, Local and Education, including E-Rate) clients.
  • Identify proposal teams consisting of Subject Matter Experts (SMEs) from Sales, Sales Operations, Engineering, Post Delivery, Marketing, Legal and Finance.
  • Assist team Manager with the development and oversight of measurable project plan, containing but not limited to milestones, task owners, key completion dates and compliance matrices.
  • Attend kickoff meetings with team Manager, (SMEs), and subcontractors, (if relevant) to communicate and distribute the respective deliverables and deadlines of project plan .
  • Build and maintain a repository of RFPs, case studies, references, product collateral and exhibits.
  • Work with Marketing to produce and update engineering and leadership biographies.
  • Maintain a response tracking spreadsheet of open and completed bids listing the primary stakeholder, project type, deadlines, potential revenue and profit, and project status.
  • Attend post mortem meetings to reflect on the successes and failures of a project after its completion
  • Assist in the renewal and compliance of existing State, Local and Education (SLED) procurement contracts including but not limited to GSA, NCPA, and Naspo ValuePoint. Expand our contract portfolio to increase opportunities from the public sector. Consistently update Contract Spreadsheets.
  • Manage new vendor onboarding process and tasks to support proposal and general company solutions including legal documentation and maintain vendor spreadsheets with pivotal information.
  • Manage the new customer onboarding process with Account Managers and Finance including legal documentation
  • Monitor existing, and register for additional Commercial and SLED bid sites for increased proposal opportunities and report findings to Proposal Manager
  • Work with Marketing and team Manager to design individualized RFP response templates.
  • Collaborate with Marketing and team Manager to consistently update the company website with current SLED contracts and ecosystem partnerships.
  • Complete customer requests for vendor information and annual compliance documentation such as Reps and Certs.
  • Update SharePoint with current vendors, procurement contracts and changes to the RFP and new vendor/new customer processes with respective documentation.

Minimum Education and Experience:

High School diploma or equivalent required

Minimum of one (1) year relevant experience in technical/sales environment

Proficiency in Microsoft Outlook, Excel, Word or similar tools

 

Preferred Education and Experience:

Bachelor’s degree

Knowledge of NetSuite, quoting tools and state contracts

3 years relevant experience in technical/sales environment

 

Other Skills and Abilities:

·      Knowledge of networking technology, servers, storage, Cisco and/or similar products a plus, but not a requirement

·      Attention to detail and ability to work with a high degree of accuracy a must

·      Strong problem solving skills

·      Strong organizational skills

·      Ability to multi-task

·      Strong communication skills, both oral and written

·      Good interpersonal skills
